The Jolly Pottery (“we”, “us”, “our”) is committed to protecting your personal information and being clear about what we collect and why. This policy explains what information we collect when you use our website, book a session, or buy from our shop – and what we do with it.

We are the “data controller” of the personal information you give us, which means we’re responsible for looking after it in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What information we collect

When you buy something from our shop

When you place an order through our website, we collect the information needed to process and deliver it:

  • Your name
  • Billing and delivery address
  • Email address and phone number
  • Details of what you’ve ordered
  • Payment information (see “Payments” below — we never see or store your full card details)

When you book a session

Bookings are handled through Collectit, our booking system. When you book, you’ll provide details such as your name, email address, phone number, the session you’re booking, and payment. This information is collected and processed by Collectit on our behalf so we can manage your booking. You can read Collectit’s own privacy policy here.

When you contact us

If you email or call us, or send a message through the website, we’ll keep a record of that correspondence so we can reply and help you.

When you browse the website

We use Google Analytics to understand how people use our website — for example, which pages are popular and how visitors find us. This involves cookies that collect information such as your device type, browser, approximate location, and how you move through the site. This data is aggregated and doesn’t directly identify you. See “Cookies” below.

How we use your information

We use your information to:

  • Process and deliver your orders
  • Manage your bookings, including sending confirmations and collection reminders
  • Reply to your questions and messages
  • Send you service emails about your order or booking (for example, order confirmations or a reminder that your pottery is ready to collect)
  • Understand how our website is used so we can improve it
  • Meet our legal obligations (for example, keeping records for tax purposes)

Our lawful bases for this are:

  • Contract — processing your orders and bookings is necessary to provide what you’ve asked for
  • Legal obligation — keeping order records for tax and accounting purposes
  • Legitimate interests — responding to enquiries and improving our website
  • Consent — where required, for example for analytics cookies or marketing emails (if you’ve signed up for them)

Emails

We use Brevo to send our emails — such as order confirmations, booking confirmations, and collection reminders. This means your name and email address are processed by Brevo on our behalf in order to deliver these emails. You can read Brevo’s privacy policy here.

If we ever send marketing emails, we’ll only do so with your consent, and every email will include an unsubscribe link.

Payments

Payments on our website are processed by Stripe. Your card details are sent directly to them over a secure connection — we never see or store your full card number. You can read Stripe’s privacy policy here.

Payments for bookings are handled through Collectit, which also uses Stripe to process payments securely.

Who we share your information with

We never sell your personal information. We only share it with the services we use to run the business:

  • Collectit — our booking system, which manages session bookings on our behalf
  • Brevo — our email service, which sends order and booking emails on our behalf
  • Stripe — to process payments securely
  • Google Analytics — anonymised/aggregated website usage data
  • Our website hosting provider — [HOSTING PROVIDER NAME]
  • Delivery services — [COURIER/ROYAL MAIL] receive your name and address so we can post your order to you

Some of these providers may process data outside the UK. Where they do, they’re required to protect it using safeguards recognised under UK data protection law, such as the UK’s International Data Transfer Agreement or adequacy regulations.

We may also share information if we’re legally required to — for example, with HMRC or law enforcement.

Cookies

Our website uses cookies — small text files stored on your device. We use:

  • Essential cookies — needed for the website to work, such as remembering what’s in your basket during checkout. These don’t require your consent.
  • Analytics cookies — set by Google Analytics to help us understand how the website is used. These are only set with your consent.

 

You can manage or delete cookies through your browser settings at any time. Blocking essential cookies may stop parts of the website (like the basket and checkout) from working properly.

How long we keep your information

  • Order records — kept for 6 years, as required for tax and accounting purposes
  • Booking records — kept for [RETENTION PERIOD, e.g. 2 years] after your session
  • Correspondence — kept for [RETENTION PERIOD, e.g. 2 years] so we have a record of what we’ve discussed
  • Analytics data — retained in line with our Google Analytics settings ([e.g. 14 months])

When we no longer need your information, we delete it securely.

Your rights

Under UK data protection law, you have the right to:

  • Access — ask for a copy of the personal information we hold about you
  • Rectification — ask us to correct anything that’s wrong or incomplete
  • Erasure — ask us to delete your information (in certain circumstances)
  • Restriction — ask us to limit how we use your information
  • Objection — object to us processing your information where we rely on legitimate interests
  • Portability — ask for your information in a portable format
  • Withdraw consent — where we rely on your consent, you can withdraw it at any time

If you’re not happy with how we’ve handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or by calling 0303 123 1113.

Children

Our sessions are enjoyed by all ages, but bookings and purchases must be made by someone aged 18 or over. We don’t knowingly collect personal information directly from children online.

Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with a revised “last updated” date.
